About The Opportunity

Scott Dunn Private is seeking a highly organized and service-driven Private Travel Assistant to support an elite team delivering ultra-personalized luxury travel experiences to members across the UK, USA, and APAC. This role combines concierge excellence, operational precision, and creative thinking to help create unforgettable journeys and lifelong client relationships.
Working closely with Private Travel Managers and Travel Consultants, you will play a critical role in enhancing every stage of the member experience, from booking support and concierge arrangements to personalized surprises and post-booking administration. Key Responsibilities

  • Provide seamless support to Private Travel Managers and Travel Consultants, ensuring operational excellence and accuracy across bookings.
  • Act as a trusted partner to the team by coordinating administrative, concierge, and member service activities.
  • Follow operational processes and champion best practices across the Scott Dunn Private team.
  • Review bookings and documentation to identify discrepancies and minimize potential errors.
  • Enhance member bookings through the coordination of restaurants, tours, spa treatments, shows, and other personalized requests.
  • Anticipate member needs and proactively deliver exceptional service.
  • Liaise with hotel concierge teams, suppliers, and travel consultants to ensure flawless travel experiences.
  • Create memorable surprise-and-delight experiences tailored to members' preferences.
  • Maintain accurate records within internal systems and databases.
  • Manage booking timelines to ensure documentation and post-booking administration are completed on schedule.
  • Collaborate with product teams to build and maintain supplier relationships.
  • Coordinate gifts and personalized touches for members when appropriate.
  • Maintain current destination knowledge and concierge resource information.
  • Ensure destination partners are fully prepared to welcome members and support their travel experience.
  • Capture and maintain member preferences within internal systems in a compliant manner.
  • Support timely collection of outstanding balances.
  • Attend supplier meetings, training sessions, and educational opportunities to enhance destination knowledge.
  • Research UHNW travel trends, publications, and member insights to support service innovation.
  • Other duties and tasks as assigned

Experience & Qualifications

  • Experience in a sales support, luxury service, travel, concierge, or administrative support role.
  • Experience supporting high-net-worth or ultra-high-net-worth clients is beneficial.
  • Strong interest in luxury travel and exceptional customer service.
  • Understanding of luxury service standards and UHNW member expectations.
  • Proven ability to manage multiple priorities and meet deadlines.
  • Exceptional organizational and planning skills.
  • High level of attention to detail and accuracy.
  • Strong relationship-building and communication skills.
  • Self-motivated with a proactive and positive approach.
  • Experience delivering personalized customer experiences and exceeding client expectations.
  • Demonstrated creativity in developing surprise-and-delight experiences.
  • Ability to work effectively under pressure.
  • Flexibility to support members across multiple time zones and occasionally outside standard business hours.
  • Willingness to attend training, supplier meetings, and destination familiarization trips.
  • Commitment to continuous learning and staying informed on luxury travel trends.
