About The Opportunity
We’re looking for an organized and people-focused Office Manager to help create a first-class experience at our Bryant Park, New York office. In this role, you’ll ensure employees, customers, and guests feel welcomed and supported from the moment they walk through the door. As a key member of the Property team, you’ll take the lead on coordinating internal meetings and events while helping foster a fun, positive, and engaging workplace environment for everyone. Key Responsibilities
- Work closely & proactively with Americas Executive Team (AET) to coordinate meetings & events as required.
- Work closely with FCTG Property Team and building manager to ensure repairs are carried out in a timely manner.
- Assist President and other AET members with various tasks as needed.
- Organize hotels, transport, meeting venues, restaurant reservations, catering and other requests for out-of-town visitors and guests.
- Handle general administrative tasks as needed.
- Ensure AV equipment throughout the office is fully functional and help trouble shoot with IT department if and when repairs or issues need to be resolved.
- Coordinate with other office & event coordinators on a frequent/regular basis.
- Ensure the office is clean, tidy, and organized always.
- Ensure office is always stocked with applicable stationery and refreshments.
- Ensure branding and signage is always current and well maintained.
- Contribute to a safe, inclusive, and accessible work environment where all Flighties feel welcomed, respected, and supported to thrive
Experience & Qualifications
- Post secondary certification relating to office, meeting & event management is preferred but not mandatory
- Previous office manager with meeting & event organizing experience preferred but not mandatory
- Executive assistant experience preferred
- Experience working with senior management preferred
- Well organized & confident
- Ability to work under pressure
- Ability to work as part of a team and also individually
- Must be proactive and demonstrate initiative & resourcefulness
- Ability to think fast and troubleshoot problems if & when they arise
- Calm and professional appearance and manner at all times
- Ability to network and create relationships with external vendors such as hotels, restaurants & caterers etc to ensure a positive
- experience for all involved
- Ability to balance quality & value
- Proficient with Microsoft suite of products (ie: Word, Excel & PowerPoint)
- Demonstrate a reasonable level of competency with technology in order to understand how meeting & board room AV equipment functions and have the ability to trouble shoot with IT department as needed
