With the move to our new Head Office, downtown Toronto just a few months away, Flight Centre Travel Group is seeking an enthusiastic and pro-active Front Desk/Office & Event Coordinator to join our dynamic team.  As the Front Desk/Office & Event Coordinator you will provide first class experiences to our fellow team members and guests.

Key Responsibilities (include but not limited to the following)

  • Responsible for greeting and signing in guests in a professional and positive manner
  • Ensure entire office space is kept in show room condition
  • Coordinate courier pick up and drop off
  • Handle mail pickup, delivery and distribution
  • Administrative tasks such as approving invoices relating to location
  • Coordinate access cards with building security
  • Responsible for ordering office supplies
  • Responsible for refreshment orders and building relationships with local establishments 
  • Coordinate office safety procedures (fire marshals, first aid training, health & safety groups)
  • Coordinate office repairs and maintenance
  • Coordinate regular office services such as cleaners, vending machine suppliers and coffee vendors
  • Organize in-office catering for meetings and events
  • Event planning & management
  • Additional administrative tasks as required
  • Assisting with meeting room preparation and catering for in-house training sessions
  • Responsible for communicating information regarding events, activities and repair (just to name a few) to our team members via Workplace (Facebook for Work)
  • Basic IT Training (meeting rooms, polycom, presentations, projection, etc.)

What you will bring to the table

  • Proficient in Microsoft Office Suite 
  • Level 2 First Aid certification preferred (or willing to complete certification upon employment at company's expense)
  • Smart Serve Certificate
  • Pride in personal hygiene & grooming
  • Outgoing, confident personality
  • Previous office / facility management experience
  • Previous event planning/management & hospitality experience

This is a full-time position operating Monday to Friday 8:30am-5:00pm. Salary to be in line with qualifications and experience.  Flexibility will be required for this role as start times may vary based on business needs and will be reassessed from time to time.
